Kotarides Property Management is seeking a highly motivated candidate to serve in the role of a Business Applications Specialist for our Support Operations team. In this role, the right candidate will work with a cross-functional, highly collaborative team where your work directly impacts the day-to-day operations of our company.
This role will be responsible for ensuring the smooth operation, maintenance, and optimization of our mission critical cloud-based SaaS solutions. This role will be responsible for working with third-party software support teams, vendors, and developers to engineer effective tools and corresponding workflows for internal employees so we can work as a team at our number one goal: helping people find homes they love. This position is responsible for exploring how each of our software systems work, ensuring system compliance with our business rules and practices, creating the documentation and support materials for our solutions, and keeping our stakeholders informed of changes.
Recommended Software Experience: Yardi Voyager, RentCafe CRM, CommercialCafe, Yardi Elevate, SolarWinds Service Desk, HRIS software (UKG Pro and UKG Ready, formerly Ultipro and Kronos), Zensai, Microsoft Teams, Microsoft licensing.
Essential Duties and Responsibilities
Customer Service and Internal Solutions Management
- Provide application support including user access setup, menu configuration, security management
- Monitor core systems to ensure uptime and reliability. These systems are responsible for critical processes such as renter application collection, lease generation, payment processing, renter’s insurance collation, screening, fraud prevention, and more.
- Work with end users to diagnose, troubleshoot, and resolve issues
- Analyze issue symptoms and occurrences to identify patterns
- Track issues using an ITIL-focused help desk ticketing system (SolarWinds)
- Communicate the status of tickets, collaborate with other members of the helpdesk to escalate as needed
- Work with vendors and developers to escalate, track, and resolve software issues
- Create support documentation and troubleshooting guides to share common problems and expertise with the Help Desk team
- Maintain an internal solutions knowledgebase
Internal Communication
- Create technology tips, quick guides, and additional internal communications to advise both end users and trainers how the system works
- Design process maps, flowcharts, and diagrams to provide visual concepts to explain system design to stakeholders
- Track and evaluate new features, communicate changes with end users
- Stay up-to-date with technology trends in the industry
Application Maintenance and Analysis
- Coordinate and assist with regular software system updates, major version releases, and bug fixes where needed
- Plan, design, create, and perform user acceptance testing for new features, updates, and changes to workflows
- Perform regression testing after changes are made to preserve core application integrity
- Communicate workflow changes and make recommendations for improving business processes
- Continually monitor systems for risks and compliance.
- Coordinate necessary system maintenance as required
Qualifications and Job Requirements
A successful candidate will demonstrate the following qualities:
- Advanced knowledge of information systems and related analytical, troubleshooting, and organizational skills required
- A passion for collaboration and a willingness to work with colleagues toward mutual goals required
- Ability to work independently and excel with minimal instruction, training, or supervision
- A minimum 5 years of experience in a similar role (information technology operations analyst, technical support operations, system administrator, system health monitoring, site reliability engineer) preferred
