Kotarides Companies is seeking a highly motivated individual to serve as a Purchasing Administrative Assistant for our rapidly growing company. The Purchasing Administrative Assistant is responsible for processing orders for materials, supplies, equipment or services needed for day to day operations of apartment communities and corporate office. This position handles workflow, creates and distributes purchase orders while adhering to purchasing policies, processes and procedures.
Duties and Responsibilities:
- Order materials, supplies and services needed for operations of apartment communities and corporate office
- Prepare and process purchase orders
- Reconcile invoices and purchase orders; Prepare same for submitting to Accounting Department
- Research issues, contact appropriate parties for resolution and correct any discrepancies
- Maintain overall vendor and inventory spreadsheets
- Work with Accounting Department to resolve outstanding issues
Qualifications include:
- 1-2 years of Purchasing Support experience
- Apartment Maintenance or Management background a plus
- Demonstrate effective communication skills consisting of oral, written and listening skills
- Ability to draft correspondence and respond to inquiries effectively
- Must be positive and motivated with excellent customer service skills
- Must be able to manage multiple tasks at once and work well under pressure
- Strong organization skills and time management abilities
